This Privacy Policy explains how I collect, use, store and protect personal information when you contact or work with The Motherhood Collective NI.
I aim to collect only the information I genuinely need to respond to your enquiry, provide the services you have asked for and run my business responsibly.
1. Who I am
The Motherhood Collective NI is operated by Tracy Wishart, a sole trader based in Northern Ireland.
For data protection purposes, I am the person responsible for deciding how and why personal information relating to my business is used.

The information I collect will depend on how you interact with me and which service you are interested in.

- information you provide when making an enquiry;
- your address where this is required for providing a service;
- pregnancy information such as your estimated due date;
- information about your birth preferences, previous birth experiences or postnatal circumstances;
- relevant information about your baby or child where this is necessary for the service you have requested;
- information necessary for contracts, bookings, invoices and payments;
- correspondence between us by email, telephone, message or another agreed communication method;
- photographs or testimonials where you have specifically agreed that I may use them; and
- limited technical information generated when you use this website.
3. Health, pregnancy and other sensitive information
Because of the nature of my work, you may choose to share information with me relating to your pregnancy, physical health, mental health, fertility journey, birth experience or pregnancy loss.
Some of this may be classed as special category personal data under UK data protection law and therefore receives additional protection.
I will only collect information of this kind when it is relevant to the support you are requesting.
Where I need to record or use special category information, I will ensure that I have an appropriate lawful basis and an appropriate condition for processing that information. Where required, this may include your explicit consent.
I will not intentionally collect more sensitive information than is reasonably necessary for the service I am providing.
4. Why I use your information
I may use personal information to:
- respond to an enquiry you have made;
- discuss whether one of my services is suitable for you;
- arrange consultations, appointments, classes or support sessions;
- provide birth, postnatal, baby massage, birth preparation, pregnancy loss, wellbeing or other agreed support;
- prepare for and deliver services safely and appropriately;
- communicate with you before, during and after a booked service;
- manage contracts, invoices, payments and business records;
- meet legal, tax, insurance or regulatory responsibilities;
- protect my legal rights or respond to a legal claim where necessary;
- keep appropriate records relating to services I have provided; and
- publish a photograph or testimonial where you have specifically given permission for this.
5. My lawful bases for using personal information
UK data protection law requires me to have a lawful reason for processing personal information.
Depending on the circumstances, I may rely on:
Contract
Where information is needed to take steps at your request before entering into an agreement or to provide a service you have booked.
Legitimate interests
Where it is reasonably necessary to respond to enquiries, communicate with clients, administer my business or protect my legitimate business interests, provided those interests do not override your rights.
Legal obligation
Where I am required to keep or disclose information in order to comply with a legal obligation.
Consent
Where you have made a genuine choice to allow a particular use of your information, such as certain sensitive information, photographs or testimonials.
Where I rely on consent, you can withdraw that consent at any time. Withdrawal does not make any processing that took place before withdrawal unlawful.
6. Emails and marketing
I currently use email primarily to respond to individual enquiries and communicate with people who have booked or are considering one of my services.
I do not currently operate a general email newsletter or add people who contact me to a bulk marketing mailing list.
If this changes in the future, I will update this Privacy Policy and obtain any permission required before using personal information for that purpose.
7. Who I may share information with
I do not sell or rent your personal information.
Where necessary, information may be processed or shared with trusted third parties that help me operate my business, such as:
- website hosting and technical service providers;
- email and communication providers;
- payment, accounting or bookkeeping services where applicable;
- professional advisers, insurers or legal representatives where necessary;
- relevant authorities where I am legally required to provide information; and
- healthcare, emergency or safeguarding services where disclosure is lawfully necessary to protect someone from serious harm.
Where a third-party supplier processes information on my behalf, I expect them to use appropriate security and data protection measures.
8. How long I keep your information
I do not intend to keep personal information indefinitely.
The appropriate retention period depends on the type of information and why it was collected.
- General enquiries that do not result in a booking: these will normally be deleted when no longer needed and generally within 12 months of our last meaningful contact.
- Client and service records: relevant records may be retained for up to 6 years after my work with you ends where this is reasonably necessary for contractual, insurance, legal or professional purposes.
- Financial and tax records: these are retained for the period required by HM Revenue & Customs and other applicable legal requirements.
- Testimonials and photographs: these may remain published for as long as they remain relevant and I continue to have an appropriate basis for using them. You can contact me if you wish to discuss withdrawal of consent.
Information that is no longer required will be securely deleted or disposed of where reasonably practicable.
9. Keeping your information secure
I take reasonable steps to protect personal information from accidental loss, unauthorised access, alteration or disclosure.
This includes limiting access to information, using password-protected systems and taking reasonable care when storing, sending and disposing of client information.
No method of storing or transmitting information electronically can be guaranteed to be completely secure, but I take the privacy of the information entrusted to me seriously.
10. Website, cookies and external links
This website may use cookies or similar technologies that are necessary for the website to function correctly, for example to maintain technical website functions or user sessions.
I do not currently use Google Analytics or Google Tag Manager to analyse or track visitors to this website.
This website may contain links to third-party websites or services, including a link to my Google Business Profile and Google reviews.
If you choose to follow one of these links, you will leave The Motherhood Collective NI website and the privacy and cookie practices of that third-party provider will then apply.
I am not responsible for the privacy practices or content of external websites.
If I introduce additional analytics, advertising or non-essential tracking technologies in the future, I will review the need for appropriate cookie information and consent before doing so.
11. Information processed outside the UK
Some technology providers I use to operate my business may process or store information outside the United Kingdom.
Where this occurs, I expect providers handling personal information to use appropriate safeguards and lawful mechanisms for international transfers where required by UK data protection law.
12. Your data protection rights
Depending on the circumstances, UK data protection law may give you rights over your personal information, including the right to:
- ask what personal information I hold about you;
- ask for a copy of your personal information;
- ask for inaccurate information to be corrected;
- ask for information to be deleted in certain circumstances;

- withdraw consent where consent is the basis being relied upon.
These rights are not absolute and whether a particular right applies will depend on the circumstances and the lawful basis for processing.
